Say hello to your new AI Meeting Assistant!

Over the last years I've certainly been following the AI Bots in the AI Meeting Notes space. I tried many of them, but never was really excited. Meetical is still the most seamless Confluence Meeting Notes solution on the planet. While other tools integrate, we synthesise! And now we'll ship an addition which elevate Meetical to your AI tool for meeting notes.

Other meeting bots exist but did not match my expectations. Here's why other stand-alone AI bots did not stick with me:

  • The summary generated was many times to broad and not very helpful at all.
  • The actions extracted were most of the time better, but still not very precise, and not assigned to a Jira/Confluence user.
  • The notes were not organised well enough (with Meetical I'm used to a parent page per series and naming conventions with my own folder structure)
  • The results were sometimes sent out to participants without review, and spammed them with inaccurare, even misleading information.
  • The bots kept joining calls even if I cancelled or missed (happens) the meeting – This gives externals a bad first impression ("Is this person just sending his bot over!?"").
  • Missing review options before publishing.
  • No options to bring over the raw transcripts and post-process them myself with tools like Atlassian Rovo.

AI needs good context

Well but the worst about all the Meeting Bots I tried:
- Lack of context! The did get most of the names wrong, misspell project names and even fail at obvious knowledge like my company name (Hello Medical!?).

Most bots do not know about what in past meeitngs were discussed. They did not understand common abbreviations we use in our company and project names.

I knew we need to come up with something extraordinary to win against these hyper-funded competitors!

The Meetical AI Assistant.

Meetical + Meetical AI Assistant is the best solution available today if you are on the Atlassian Stack.

And yes, I'd say much better than Loom in many aspects (more on that in a separate post).

And the best: We want to continue to be the most seamless integaration and therefore allow you to easiyl import AI notes from Loom, Teams, Zoom, and Meet!
But the lack of APIs on their side eventually forces us to deliver a full end-to-end meeting solution, including out new Bot wich can join any meeting and you don't have to worry about recording, permissions for the transcript. It works with external and internal meetings and is fully cross-platform by supporting Zoom, Teams, Meet (and WebEx!).

In the Beta the Bot is deployed from the US-West Datacenter. We'll share more information and available options with you during our onboarding call.

Once we go live in Q1 2026 we'll support three US data-centers (East, Central, West), one data-center in Europe and one data-center in Japan.
Our design goal is that no meeting data is stored outside from Confluence.

Let's dive into how the Beta looks like right now.  

The Feature is currenlty only activated in the internal Calendar. We plan add it to the Google Calendar Extesnion and to Outlook/Teams Calendar in the future.

Once activated, the feature is reachable from Confluence -> Apps -> Meetical Calendar.

The AI Meetings Notes feature can be reached from Apps -> Meetical Calendar -> Click your meeting

Click on "AI Meeting Notes" to open up the AI Assistant.

From here, you have different options:

1) Send Meeting Bot Now

Right when the meeting starts - or immediately after you asked all attendees if everyone is fine with transcribing the meeting - click "Send Meeting Bot Now" to send the bot.
The Bot will join immediatly or enter the Waiting Room of the Meeting.

2) Preview AI Extract

With this feature you can actually preview the AI Meeting notes extracted from the transcript.
Note that you cannot currently edit the notes in this step. Instead, go ahead and send the notes to the Draft page to review them and publish the result.

3) Send Meeting Notes to Draft Page

Click the button to "Send Notes to Draft Page".

This will add the Notes to the current draft page. Note that the existing page content will be deleted. Instead the notes will be added to the bottom of the page.

4) Open Draft Page

For your convenience, you can open, edit and review the draft version of your page from the link.

The Meetical Default Prompt and Template

The notes generated are base on something we call "Promptlet" (a Mix between a Template, and a Prompt to the AI Assistant). Our standard Promptlet includes:

a) A short executive summary of the meeting. Concise, but still expressive.
b) A list of Agenda topics covered, and a reference if the result is either an action item or a decision.
c) A list of decisions taken during the meeting.
d) The list of action itmes with due dates and assigned to the person in charge.
e) In addition, we also add the full transript so you can post-process it with Rovo or other AI tools.

The Meetical AI Assistant will generate notes and add it to the Confluence Page Draft.

Do you want a different format for your notes? Meetical currently only supports one default Promptlet, but we can't wait for your feedback to add more.
